Privacy Policy
1. Introduction
Clarian Solutions Ltd (Company Number: 16275393) (“we”, “us”, “our”, or “Clarian”) operates FinAssure, an assessment tool designed to help organisations understand customer vulnerabilities and identify any support customers may need when considering finance options (“the Service”).
This Privacy Policy explains how we collect, use, process, and protect information when you use our Service. We are committed to protecting your privacy and handling your data in accordance with applicable data protection laws, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
2. Data Controller
Clarian Solutions Ltd may act as both a data controller and data processor for information processed through FinAssure. Where you, as the organisation using our Service (“Customer” or “Tenant”), input personal data into the system, you will also act as a data controller. The retailer facilitating the assessment may also act as a data controller for personal information collected.

3. Information We Collect
3.1 Personal Data
FinAssure collects the information you provide in the assessment to understand your circumstances and identify any support you may need when considering finance options. This may include personal information relating to your health, financial situation, or other circumstances that may affect your ability to make informed decisions about finance products.
3.2 Assessment Data
The Service processes vulnerability assessment responses, demographic information where provided, assessment scores and results, and usage analytics.
3.3 Technical Data
We may collect limited technical information necessary for Service operation, including IP addresses (for security and technical purposes only), browser type and version, device information, and log files and usage statistics.
4. How We Use Your Information
We use the information collected for the following purposes: to review your responses and identify any support or adjustments you may require; to share relevant information with the retailer so they can provide appropriate support; to share relevant information with the lender if you choose to apply for finance; to share information with the Financial Conduct Authority (FCA) or Financial Ombudsman Service (FOS) if required for a complaint or regulatory review; providing and maintaining the FinAssure service; generating vulnerability assessments and reports; ensuring system security and preventing misuse; improving Service functionality and performance; and complying with legal obligations.
5. Data Sharing and Third Parties
5.1 Retailers and Lenders
Where you complete an assessment, we may share relevant information with the retailer facilitating the assessment so they can provide appropriate support. If you choose to apply for finance, we may also share relevant information with the lender to support your application.
5.2 Regulatory Bodies
We may share information with the Financial Conduct Authority (FCA) or Financial Ombudsman Service (FOS) if required for a complaint or regulatory review.
5.3 Service Providers
We may engage trusted service providers who assist in operating our Service (such as hosting providers), but these providers are bound by strict confidentiality agreements, process data solely on our behalf, are required to implement appropriate security measures, and have no right to use the data for their own purposes.
5.4 Legal Requirements
We may disclose information if required by law, court order, or to protect our legal rights, but only to the minimum extent necessary.
6. Data Retention and Storage
6.1 Retention Period
Assessment data is retained for 6 years from the date of collection, after which it will be securely deleted unless a longer retention period is required by law or for ongoing legal proceedings.
6.2 Data Control
As the Customer, you have complete control over your data, including full access to all assessment data and results, the right to export data in standard formats, the right to delete individual assessments or all data, and the right to modify or correct any information.
6.3 Data Location
Data is stored securely within the United Kingdom using industry-standard security measures.
7. Data Security
We implement appropriate technical and organisational measures to protect your data, including encryption of data in transit and at rest, regular security assessments and monitoring, access controls and authentication measures, secure hosting infrastructure, and regular backups and disaster recovery procedures.
8. Your Rights
Under UK data protection law, you have the following rights regarding your personal data:
8.1 Access and Portability
You may view all assessment data and results, export data in common formats (CSV, PDF, etc.), and receive copies of all information held.
8.2 Rectification and Erasure
You may correct or update any inaccurate information, delete individual assessments or entire datasets, and request complete account closure and data deletion.
8.3 Processing Control
You may restrict or object to certain processing activities and withdraw consent where processing is based on consent.
8.4 Withdrawal of Consent
You can withdraw your consent at any time by contacting support@finassure.co.uk. Withdrawing consent will not affect any processing already completed, but may limit our ability to continue the assessment or provide support.
9. Cookies and Tracking
FinAssure uses essential cookies only for maintaining user sessions, ensuring system security, and basic functionality. We do not use tracking cookies, advertising cookies, or third-party analytics cookies that would identify individual users.
10. International Transfers
If data is transferred outside the UK, we ensure appropriate safeguards are in place, including adequacy decisions by the UK Government, standard contractual clauses, and other approved transfer mechanisms under UK data protection law.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, the “Last Updated” date will be revised, significant changes will be communicated via email or Service notification, and continued use of the Service constitutes acceptance of the updated policy.
